Workflow Xtensions
Notes Everywhere
This workflow tool makes it easy to communicate critical information throughout your company. Add an unlimited number of pop-up notes to customer, vendors, or orders to record dates, preferences, service issues or other important information. Notes can also trigger e-mail alerts or messages to employees, suppliers or even customers, improving both internal and external communication.
Approval Link™ VeriSign® Interface
This version of Approval Link is for dealers who prefer to use VeriSign authorization software for credit card processing. Customer and transaction information is passed directly from DDMS to the VeriSign software, eliminating the need to re-key data. Approval Link VeriSign Interface also includes authorization management, automatically clearing pre-authorized amounts once the actual transactions is completed and billed.
Level III Credit Card Processing
Add Level III credit card processing to Approval Link. Level III offers the highest degree of security available for credit card authorizations and can significantly lower your processing fees. The additional detail provided by Level III processing, such as item ID, description and quantity simplifies expense reporting for your customers and may be especially appealing to larger accounts using procurement cards.
Campaign Manager
Build targeted sales campaigns, set up customer alerts, identify sales opportunities, and manage customer accounts – all using a simple, wizard-based interface. Campaign Manager works in conjunction with Notes Everywhere (see above) to help you target specific customer segments (such as premium or at-risk customers), generate prompts or alerts to identify new customers or changes in purchasing habits, and send out targeted e-mails or other communications.
Multiple Credits
Create multiple credits for the same invoice during the same day’s business. Each credit has its own unique number, all linked to the original invoice number. Requires DDMS Version 6 or later.
Customer Item Substitutes
Improve profit margins and compete for new business by enabling customer-specific item substitutes. Inventory substitutes — items that serve as replacements for other items — help maintain margins and fill rates by directing customers to the items you prefer to sell. Customer Items Substitutes let you apply the power of inventory substitutes to individual accounts. Fine-tune inventory substitutions by creating substitute items that apply only to a specific customer, customer group or delivery route. Use customer items substitutes for: JWOD/GSA, National Drop-Ship Accounts, and to meet customer purchasing requirements without sacrificing margin.
Period-End Procedure Files
Why waste time running the same reports or performing same-system tasks at the close of each day and month? Procedure (proc) files are automated scripts that perform these tasks for you. ECi can provide proc files to automate your daily or month-end procedures. Simply launch the procedure and let DDMS handle the rest.

Paid-on-Paid Charge-Back Commission Reports
This helps you implement a controlled compensation program for salespeople, either paid-on-paid compensation or charge-back compensation, or both. It offers three different reports: Commissions To-Be-Paid, Final Commissions and Reprinting of Final Commissions. All three reports include basic information (salesperson, customer, item and invoice) as well as sales, cost/margin dollars and percentages, gross and net commissions, and deductions for past due invoices (if applicable). Extensive parameters let you use paid-on-paid and charge-backs with almost any compensation structure.
Customer Xtensions
Additional Volume Discounts
Set up a customer appreciation program that rewards large orders with a gift or additional discount. Discount an order by a pre-set percentage whenever it falls within a set dollar amount, for example. Or give customers a gift item when their order exceeds a specific dollar amount. Additional Volume Discounts enables you to define multiple discount tiers, allowing different reward levels based on total order dollars.
Advanced Contracts
Assign an unlimited number of contracts to a customer or departmental account. Contracts can be assigned to groups of customers as well as individual accounts. This also enables you to build new contracts and assign customers to them without leaving the contracts application.
Customer Evaluation Module
When it comes to evaluating your customers, a picture can be worth dollars, not just words. The Customer
Evaluation Module enables you to quickly evaluate a customer’s buying history in real-time without running reports or doing complicated analysis. Sales dollars and trends, sales versus costs, order trends, credit status and more are displayed as easily understood charts and graphs.
Dealer Station®
ECi’s Dealer Station® Web storefront is completely integrated with the DDMS business system. Critical transaction data, including pricing, account information, budgets and order history, are stored and managed in DDMS, eliminating the need to re-key account information or upload separate contracts to your Web storefront. Likewise, incoming orders are automatically downloaded for processing.

Drill-Down Financials
Stop digging through multiple batch reports to find that old invoice or determine why an account was over budget. The G/L History window lets you drill down into G/L information and view detailed information on screen. Start at the broadest levels, and in seconds drill down to the smallest detail on a specific invoice.
Xtended G/L Package
Significantly improve financial reporting and analysis of your business with support for 15-digit G/L numbers and responsibility centers for cost center accounting. You can also define up to 70 G/L departments and 77 different customer and salesperson categories, allowing detailed analysis of your operation by customer, salesperson or route.

Advanced Manifests
Advanced Manifests can simplify operations for larger dealers with multiple warehouses. No more entering individual orders for each location; line items are automatically routed to the correct warehouse for fulfillment based on inventory location. This also simplifies same-day deliveries by defining same-day routes and the cut-off times to generate manifests for these routes. Other features include automatic generation of shipping manifests, multiple manifest types, the ability to flag bulk items on picking manifests and the option to split tickets among multiple printers.
Xtended Warehouse Management
Xtended Warehouse Management provides additional capabilities to streamline operations in large warehouses, including 8-digit bin numbers and the ability to use different types of bins for the same item. Available bin types include set, floating, quick-pull, back-up, staging and bulk bins. There is also a special serial bin type for machine dealers that tracks the serial numbers of its contents so that it is easy to always know the exact serial numbers stored in each bin location.

Item Audit Trail
Audit all activity for a specific item in one concise report that includes on-hand quantities at the beginning and end of a specified period, quantities purchased and sold, and any manual adjustments.
Cycle Count
Manage inventory more effectively by counting small sections of your store or warehouse on a rotating basis. The program supports bar code scanning, or print count sheets and page logs for manual counts. Results can be used to update your inventory immediately, or use newly-discovered items to fill backorders before releasing to on-hand inventory. You can also use count results to generate valuation reports.
Collections Monitor
Manage collections by generating past-due call lists grouped by importance. Set call-backs when someone is out or a follow-up is required. The monitor can also notify employees of previous collection calls to a customer.
Credit Hold
This Xtension helps handle customers on credit hold by automatically putting new orders on hold and generating a collection call. When payment is received, just release the order, which automatically returns to the normal flow.
Stock Class Usage Report
Show usage dollars by inventory stock class. This Xtension lists your total sales by stock class from a specialized sales journal. The data can be saved to a file for export to other applications.

Monthly Product Usage Report

Safely changes the salesperson assigned to a journalized invoice, automatically updating all related files, to ensure accurate reporting.
Contract Office Furniture Xtensions
WIP (Work in Progress)
View and compare your actual costs on an individual order basis prior to and after invoicing for a more accurate bottom line. WIP also helps to eliminate overpayments to vendors, correct payment of commissions to salespeople, and helps in the overall order process.
Furniture Job Costing
Track all of the costs associated with a specific furniture project for accurate accounting, profitability analysis and commissions. Add cost-only items or labor hours to a project. Hours can be set up with defined rates for regular and overtime pay, defined and assigned to multiple categories for tracking and reporting. Costs can also be defined as commissionable or non-commissionable to further protect your margins.
Terms and Conditions
Terms and conditions such as advance payment requirements and forfeiture of deposit are critical elements of any furniture project. This Xtension simplifies tracking and management of this important information. You can assign the appropriate terms and conditions document as part of the order entry process. Once the terms have been accepted, you can record relevant information such as the signer’s name and date, etc. You will always know the specific terms and conditions that apply to each project and whether they have been accepted by the customer.
EOP (Electronic Order Processing) with Furniture Manufacturers
Transmit furniture P/Os electronically and save time and labor by eliminating the need to re-key data. Transmit P/Os to major manufacturers and receive electronic acknowledgments directly into DDMS. Supported manufacturers include Allsteel, Global Industries, Haworth, Herman Miller, Kimball Office/National and Knoll.
Hedberg Interface
Steelcase dealers no longer have to choose between having critical business information split between two software packages or re-keying orders into DDMS. The Hedberg Interface connects DDMS to supported Hedberg Data Systems software, offering unified project and business management without redundant data entry. Import Hedberg orders and P/Os for billing, receiving, project management and complete, accurate sales history.
Project Overview
Use the Project Overview window to keep track of your projects. For example, you can monitor the project’s
design review and client review dates, as well as keep track of the project manager, design team manager and install team manager.
Xtended Business Analysis
Assign customer groups in the ten-character Group field in the text-based (AQ) screen and the Customer Master tab. This user-defined field works with the new customer contracts feature. This field/box lets you assign customers to a specific group. Using this group code, you can run reports and post accounts receivable payments by group. Suppose you have several accounts and department accounts for a large supply dealer. By assigning the master account and department account the same group code, you can ensure that the contracts used for the master account and all department accounts are the same. Once you have assigned group codes to your customers accounts and department accounts, you can use Customer Price Plans to assign customers
to as many price plans (contracts) as necessary.
- The report information is stored in the C-INFO file.
- In accounts receivable, you can post a check to all accounts in a group. You access the account by group and all invoices for all accounts in that group are available for posting. You can also use this group code when searching for a customer by alias.
- Previously, you could view up to 10 departments in the (LA1) screen. Now, you can view up to 70 departments in the (AS) Customer Sales History screen (set up General Ledger departments in General Ledger Departments Parameters).
- Suppose you have several accounts and departmental accounts for a large customer. By assigning the master account and departmental account the same group code, you can ensure that the contracts used for the master account and all departmental accounts are the same. Once you have assigned group codes to your customer accounts and departmental accounts, you can go to the Customer Price Plan window and assign customers as many price plans as necessary. This price plan information is stored in the C-DISC file.
- You can also view your customers history information by group in Customer History. In the Customer History Total Sales and Group Sales tabs, check the “Sales Rollup By” checkbox. You can view history by customer or by group.

Mobile Solutions
RouteTrak™
Missed deliveries and misrouted shipments waste time and money. Boost delivery efficiency by replacing paper-based delivery manifests with an electronic handheld device. Each delivery is tracked all the way to the customer’s hands using RouteTrak. A time- and date-stamped signature is captured for your proof-of-delivery and automatically uploaded to your DDMS business system on the driver’s return and can be viewed through your Web storefront.
RoutePerfect™

Dispatchers can provide customers with more accurate arrival estimates based on a driver’s current progress or even re-route a vehicle to decrease customer wait time.
